Sales Coordinator
Position Summary
The Sales Coordinator plays a pivotal role in delivering exceptional service and operational excellence across the customer lifecycle. This position serves as the primary liaison between customers and internal departments, including Sales, Engineering, Field Service, Logistics, and Purchasing—to ensure seamless order management, clear communication, and timely issue resolution. The coordinator is responsible for overseeing the complete order process, managing customer inquiries, and maintaining accurate documentation to support ongoing project success.
With a strong foundation in customer service and order processing, the ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, collaborative environment. A proactive problem-solver with solid technical aptitude, this individual is expected to provide outstanding support to both customers and internal teams, while driving continuous improvement and maintaining high service standards. Occasional travel and customer site visits may be required to build stronger relationships and ensure satisfaction at every level of engagement.
Responsibilities and Duties
- Serve as a key point of contact for customers, sales teams, engineering, field service technicians, purchasing, and logistics to ensure seamless communication and project execution.
- Manage all aspects of the customer order process from entry to delivery, ensuring accuracy, timeliness, and exceptional service throughout.
- Respond promptly to customer inquiries and service requests using effective problem-solving skills and maintain detailed, organized documentation for future reference.
- Collaborate cross-functionally to provide accurate information on products, company policies, procedures, and order status.
- Process orders, return goods authorizations (RGAs), warranty claims, and credit requests with a high degree of accuracy and attention to detail.
- Manage order modifications—including changes, cancellations, and additions—while maintaining clear and timely communication with all stakeholders.
- Work with Sales and Engineering to develop accurate and comprehensive parts lists tailored to customer needs.
- Investigate and resolve order discrepancies such as shortages, damages, or misdeliveries, and communicate resolutions efficiently.
- Maintain proactive communication with customers regarding pricing, shipping status, product availability, delivery schedules, and post-sale service.
- Prepare customer quotations and assist with pricing proposals as needed.
- Facilitate the entry and tracking of service reports based on customer feedback and technician input.
- Participate in customer site visits, as necessary, to strengthen relationships and address concerns in person.
- Foster a positive, customer-first culture while building collaborative working relationships across departments.
- Provide thoughtful feedback and recommendations to enhance customer satisfaction and improve internal processes.
- Organize, prioritize, and manage workload effectively to meet deadlines in a fast-paced environment.
- Maintain well-organized records—both physical and digital—in compliance with company standards.
- Exhibit strong team collaboration while being capable of working independently with minimal supervision.
- Perform additional tasks or special projects as assigned by the supervisor.
Qualifications and Skills
- Associate’s degree in Business or related field; Bachelor's degree preferred, or 3–5 years of equivalent customer service and order management experience.
- Demonstrated excellence in written and verbal communication skills across internal teams and with external customers.
- Proven experience in customer order processing, with a deep understanding of CRM or ERP systems and logistics coordination.
- Proficiency with Microsoft Office applications, especially Excel and Word; experience with other software tools is a plus.
- Strong organizational and multitasking skills with a commitment to accuracy and detail.
- Ability to analyze problems, identify solutions, and implement improvements independently.
- Technical and mechanical aptitude to understand product functionality and troubleshoot issues effectively.
- Background in HR or team coordination is a plus, supporting effective communication and team development.
- Solid business acumen and a proactive approach to supporting strategic company goals.
- Willingness and ability to travel occasionally for customer meetings, site visits, or team support.
